✅ Message to Store Managers – Banking System Update

Team,

We’ve now updated the Banking section on the Portal to give us better visibility and control over store cash movement. These improvements will help us track what is physically in each safe, ensure deposits are recorded accurately, and create a cleaner audit trail across the month.

Below is a quick summary of what has changed and how to use it.

🔄 What’s New

  1. Safe Amount (NEW column)

This shows the value currently held in your store safe day-by-day.

It starts with your opening safe balance (as of end of last month) and automatically adds/subtracts based on what you enter.

  1. Deposited (NEW column)

Whenever you deposit money from the safe into the bank (Date must match):

Enter the amount in the Deposited column for that day.

This amount is deducted from your Safe Amount automatically.

  1. Automatic Safe Running Balance

The system now calculates your safe like this:

Opening Safe

  • Banking Pickups (cash placed into safe)
  • Deposits (cash taken out of safe)
    = Safe Amount

No manual calculations needed — the safe value updates instantly.

  1. Monthly Roll-Over

At the start of each month:

Your Safe Amount automatically continues from the previous month’s closing balance.

Nothing resets unless you physically bank everything and mark it as deposited.

📝 Step-By-Step: How to Complete Daily Banking
Every Day

Enter your Morning Float

Enter EOD Cash Total

Enter EOD Card Total

Enter your Banking Till Pickup (any cash taken over float value £100)

Enter Petty Cash if used

If you went to the bank to deposit money, enter it in the Deposited column

Click Save Banking

The Safe Amount will automatically adjust.

📌 Important Notes

Do not enter £ symbols — just numbers.

Safe balances now matter more than ever: they must mirror what is physically in the safe.

If you spot a mistake, simply correct the day and Save Banking again.

If you need help

Please contact me directly — I’m happy to walk anyone through it.

Thanks everyone. This update gives us far stronger control of our cash handling and ensures complete accuracy across all stores.
